Instructions for Entering and Uploading Partner Earned Foster Leads
Thank you for your partnership in helping to achieve a statewide view of foster parent inquiries and licensing. This work allows us to:
- Create a benchmark for leads and licensing across the state
- Focus our recruiting efforts where they are most needed
- Develop Statewide and Regional goals around recruitment and licensing
We ask for your cooperation in uploading a simple set of data once a month by the 7th of each month.
You should receive an Excel template automatically via email on the first business day of each month. This template is also available in the resources section of the Every Child Tennessee Portal.
You will be reporting on one row for each county in which you have data to report for the month:

- Select the name of your organization from the dropdown next to the County on which you are reporting. For ease, you can "flash fill" the name of your org by hovering your mouse in the lower right corner and double clicking. (it’s ok if you fill in cells for counties you don’t serve as long as you don’t enter numbers for “New Inquiries” or “New Licensed Foster Families”)
- Select the Month and Year that you are reporting in the drop-downs. You can also “flash fill” these down, but if a series of months pops up you want to click on “Copy Cells” in the flash fill box
- Enter the number of new foster family inquiries you received in that month/year (that did not come from Every Child Tennessee) for each county in which you work and have data to report—this must be a whole number.
- A “foster family inquiry” is a person (1 per household) that reached out to your organization about becoming a foster parent and with whom someone had verified contact (exchanged email or phone call) or for whom you received follow up contact information.
- Enter the number of foster families you licensed in that month/year for each county in which you work and have data to report—this must be a whole number
After completing the template, save the file to a location from which you can upload
- You can send this file to us in 2 ways:
- Preferred Method: In the Partner Portal on the “My Organization” page under the drop-down menu under your name, you will click on “Add file” and Upload.
- Secondary Method: Send your completed template to REIL@thecontingent.org with the subject line: “[Your Organization Name] [Month] [Year] Partner-Earned Leads”
Then you’re done! Thank you!

- Develop Statewide and Regional goals around volunteer recruitment

- NOTE: if someone inquired about becoming a foster parent and a volunteer and you track both, you can report both as an inquiry

- Enter the total number of volunteers you have for that month/year for each county in which you work and have data to report—this must be a whole number. (this may not change much from month to month and you may just want to modify the dates on your template from the previous month)
